We recently had the opportunity to sit down with Prash Menon, the Managing Director of Qualitas Health, to discuss Qualitas Health’s journey with Cubiko. Prash uses Cubiko to streamline data management across their multiple practices, guide business decisions, and optimise their practices operations.
The Opportunity
Before implementing Cubiko, Qualitas Health faced significant challenges in managing and reporting data across their multiple practices. Prash, the Managing Director, recalls, “There was a lot of manual data gathering before Cubiko. Pulling reports out of Best Practice or MedicalDirector for each individual practice, then collating that information from both PDF and Excel formatted documents.”
This tedious process made it difficult to obtain a holistic view of their data, particularly at the group level. “In terms of getting a more holistic picture of our data, we could only really do it clearly at the financial level. But it was harder to get more granular data around what was happening as a group,” Prash explained.

Prash explained, “We can now easily monitor key themes and metrics across all our practices and delve deeper into the data as required.” Cubiko Multisite enables Prash and his team to track key metrics like online bookings, DNA rates, and average billing per doctor across all 40 of their practices.

Cubiko’s My Dashboards feature has played an important role in ensuring consistent reporting and tracking of key metrics across all 40 of Qualitas’ practices. “We’ve used Cubiko’s My Dashboards feature to build custom dashboards for our Practice Managers with the 13 key metrics we’d like them to regularly monitor,” says Prash “These dashboards serve as discussion points for their meetings with operations managers, keeping everyone aware of the live dynamics being tracked by Head Office.”
Informed decision making
Cubiko has significantly helped improved Qualitas Health’s decision-making processes. Prash explains, “In the past, while we used data, we didn’t use it to its full potential. When we’d focus on specific initiatives, it was more so based on a feeling. Now, we use Cubiko to help us identify areas or initiatives we’d like to focus on and we now back up those decisions and outcomes with data.”
This data-driven approach has enabled Prash and the team at Qualitas Health to evaluate and optimise various aspects within their practice group, such as health assessments, item optimisation, and online bookings. For example, by tracking the use of online appointments, they have been able to see significant improvements over the last year. Prash explained, “We could see that the percentage of appointments booked online was increasing, which was part of our initiative to boost online bookings.”
This initiative led to an additional 10,000 appointments being booked online each month across their practice group, highlighting the impact of their data-driven strategies.
