How Pulse Medical uses data to drive better patient outcomes

For Pulse Medical Algester, great healthcare isn’t just about treating patients – it’s about building strong relationships and ensuring GPs have the support they need to provide the best possible care. With over 9,000 patients from Algester, Calamvale, Parkinson, Sunnybank Hills and Pallara, the practice has become a trusted healthcare provider in the community.

Balancing modern technology with traditional values, Pulse Medical ensures their tenant GPs have access to efficient workflows, data-driven insights, and the tools they need to focus on what truly matters – their patients. By fostering a collaborative and patient-first environment, the practice continues to uphold it’s values: Safety, Care and Excellence.

We had the pleasure of catching up with Practice Owner, Dr Ajay Koshti, to understand how the practice uses Cubiko’s reporting and benchmarking capabilities to support their GPs and drive better decision-making.

During our conversation, Dr Ajay reflected on the realities of running a busy general practice, and the challenges that come with balancing patient care, business operations and supporting his team.

While running a general practice has been deeply rewarding for Dr Ajay, it has also been a lonely road at times. “Practice ownership in Australia is really lonely compared to Scotland, where I previously practised medicine,” he said “Back there, we had more structured collaborations between practices – we supported each other. Here, you’re largely on your own.”

As the practice expanded, so did the operational complexity. With a growing team of six tenant GPs and a commitment to serving thousands of patients, Dr Ajay needed more than gut instinct to steer the practice. Managing the business and supporting his doctors required structure, visibility and data-informed decision-making.

Driven by a commitment to deliver the best insights for both their GPs and patients, Dr Ajay joined Scale My Clinic, where he was able to engage with like-minded practice owners. “I found it incredibly helpful to hear what other practices were doing,” he said. “But it was still tough to get a clear picture of how we were really performing compared to others.”

It was through Scale My Clinic and attending other Practice Owner and Management conferences that he first heard about Cubiko. What stood out was the potential to access consolidated, reliable and comparable data – something that he hadn’t been able to get before. He knew he needed a solution that could free up his time, provide clear insights into the business, support his GPs and improve the quality of care provided.

As the practice grew, so too did the need for deeper insights and more streamlined processes behind the scenes. Managing a busy, modern practice while staying true to traditional values meant Dr. Ajay needed the right tools – not only to support day-to-day operations, but to ensure Pulse Medical could continue delivering exceptional care to the community for years to come.

Using data to make informed business decisions

As both a clinician and a business owner, Dr Ajay understands the delicate balance between providing high-quality patient care and ensuring the sustainability of the practice. Since taking over Pulse Medical in 2018, the practice has grown from just two GPs to six, and with that growth came the need for smarter, more strategic decision-making.

“Before Touchstone, we had to rely on gut feeling or anecdotal evidence,” he said. “Now, we have real numbers to back up decisions.”

Touchstone enables Dr Ajay to benchmark Pulse Medical’s performance against similar-sized practices, giving him valuable insights into where the practice is excelling – and where there’s room for improvement. He closely monitors key metrics such as billings per hour, consulting utilisation, appointments per hour and patient wait times, to name a few. These metrics help him assess how the practice compares to others both nationally and within their cohort, while also ensuring that the practice is delivering high-quality care in a sustainable and efficient way – for both patients and doctors.

“We want to be one of the best practices out there,” Dr Ajay said. “Touchstone helps us understand exactly where we’re performing well and where we can continue to improve.”

In addition to smarter insights, Cubiko and Touchstone has also saved him valuable time. “Back then, I used to spend hours studying my data,” he explained. “I think that the time I saved is valuable, and rather than doing all that data crunching, I’d much rather have it at my fingertips. It’s allowed me to look beyond the numbers and make clearer, faster decisions to push the business forward.”

Supporting GPs with the right tool and insights

At Pulse Medical Algester, GPs are more than just tenants – they’re valued partners in providing outstanding patient care. A key focus of the practice is ensuring doctors have access to the data, support and systems they need to thrive – without burdening them with complex reporting.

“We want our GPs to have access to the data that helps them make better clinical and business decisions – without overwhelming them,” Dr Ajay said.

Using Cubiko and Touchstone, the practice can track and benchmark performance across key metrics such as billings per hour, consulting utilisation, appointments per hour, health assessments, chronic disease management and patient wait times. This allows both the practice and individual GPs to understand how they’re performing compared to their peers and identify areas to improve the care experience.

“Touchstone helps us have meaningful conversations with our GPs” he said. “It’s about showing them the data in a way that empowers, not pressures.”

This data not only supports ongoing improvement but also reinforces a culture where the doctors feel supported, informed and empowered in their day-to-day work. “We want to provide a workplace where GPs are supported and successful,” Dr Ajay said. “It’s about giving them meaningful insights so they can continue to grow and deliver the best possible care to their patients.”

Driving continuous quality improvement and patient outcomes

Dr Ajay’s passion for quality improvement began in Scotland, where he worked as a Clinical Director across 18 practices to improve care delivery without any additional budget allocation. That same mindset still drives the way Pulse Medical operates today.

“My role was to improve care within the same budget allocation,” he shared. “So I’ve always looked at ways we can be more efficient for less while still improving outcomes.”

Now, with Cubiko and Touchstone embedded in the practice, Dr Ajay and the team are able to align clinical care with business performance. By proactively identifying gaps in care and performance, they’re able to not only deliver better care to their patients, but also enhance GP earnings.

A recent focus has been on reducing patient wait times, where Touchstone provided key visibility. “We looked at the wait time data, and one of the things we identified was that we did have slightly higher wait times than the average,” said Dr Ajay.

The team ran two six-week quality improvement cycles focused on reducing those times. “We managed to get our average wait time down from 22 minutes to 13 minutes,” he shared.

Whether it’s improving access, reducing wait times or enhancing proactive care delivery, Pulse Medical relies on data to guide their improvement efforts. “We’re focused on delivering better care in a smarter way,” Dr Ajay said. “Cubiko and Touchstone help us back that up with data – it’s not just a feeling anymore. We can actually track how we’re improving over time.”

As Pulse Medical continues to grow, so too does their commitment to smarter, data-led care. For Dr. Ajay, Touchstone remains an essential tool not just for day-to-day decision-making, but for long-term strategy.

“It’s not just about finances – it’s about delivering care in a way that makes sense for both patients and the business.”

With Cubiko by their side, Pulse Medical Algester is well-equipped to continue supporting their GPs, strengthening their business, and – most importantly – improving the health of their community.
